Job Description

Job Duties:

· Appropriately file closed cases in correct format (electronic data storage, microfilm or traditional hard copy format).

· Scan documents into current electronic data management system.

· Prepare documents for scanning into current electronic data management system.

· Other support functions as assigned.

· Back-up telephone duties.

Job Requirements:

· Completion of secondary education with coursework in general office practice or comparable work experience

· Experience in operation of telephone system

· Experience in using Microsoft products

· Effective communication skills

· Intermediate computer and word processing skills

· Experience in scanning documents

· Must possess valid State of Ohio driver's license and have fulltime access to a vehicle

Knowledge Required:

· Agency policies and procedures

· Office practices and procedures

· Telephone equipment use

· Operation of computer

· Operation of scanning equipment

· Operation of copier/printer

· Proper English usage, grammar and spelling

Skills Required:

· To work cooperatively with and relate to other units within the agency and outside the agency

· To communicate effectively both orally and in writing

· To plan, organize and prioritize job duties

· Skill in organizing and maintaining office processes and systems

· To operate personal computer copier, scanner, copier and telephone

· Sensitivity in dealing with diverse cultures

Abilities Required:

· File and scan documents according to alphabetical, numerical, and subject order

· Carry out instructions in written and oral form

· Ability to handle multiple priorities

· Ability to maintain professional demeanor and handle sensitive contacts with the public, agency staff and governmental officials

· Ability to use computer software to maximize office efficiency

· Communicate effectively with supervisors, associates, and general public when required

· Develop and maintain effective working relationships with supervisors, associates, and general public

· Create and maintain effective tracking systems if required

· Computer, scanner, copier, printer, fax machines, telephone system

The employee must occasionally lift and/or move up to 25 pounds, such as files or boxes. Specific vision abilities required by this job include close vision, depth perception, and the ability to adjust focus. The position requires the individual to meet deadlines with time constraints and to interact with the public and other workers.

· The employee may occasionally come into contact with irate or upset individuals.

· The noise level in the work environment is acceptable to this particular environment. Work Hours:

· Standard work hours are Monday through Friday 8:00 am- 4:30 pm, Some evenings and weekend work may be required. Working hours may vary dependent upon need.
